What does Paperless Mean? And Who is a Mobile Worker?

There is a lot of talk these days about paperless offices and mobile workers. With that talk there is also quite a bit of confusion.  So I thought I would take a moment to define these terms and what they mean to a small business owner.

 Paperless: The first thing to keep in mind is that it means paper-less, not paper free.  The concept is that with the technology available today most items can be digitally converted, created or received and stored.

Some tips to going paperless:

  • The processes and tools should be easy to use and create less clutter.
  • Start with one area of paper- i.e bank statements, receipts, or business cards.
  • Integrate more areas of paper into your paperless office systems one at a time.
  • Research tools and technology.  Ask friends and colleagues what has worked and not worked for them.
  • Most of the technology should not break the bank.  It should be affordable.
  • Any system you establish should make sense for your business.

Mobile Worker: Almost every small business owner or professional is works away from a main office sometimes.  But if you work away from your main office/ desk on a regular basis you are considered a mobile worker.

Some Tips for having ease as a mobile worker:

  • Use cloud technology to store documents and important information so you can access anywhere.
  • Have a mobile workbag stocked and ready to go at all times.
  • Decide what technology helps you and what is just cumbersome and useless.
  • Use local free Wi-Fi or some phones can act as a hotspot as well.
  • Learn to turn off/ disconnect from time to time.  As a mobile worker, work hours can vary greatly and you can be expected to be “on” all the time.  So take some down time, recharge and keep yourself inspired.
